Privacy Policy

Effective date: .

This policy explains how Print Prepper handles information through www.printprepper.com, app.printprepper.com and related support. It covers account users and other people whose information appears in artwork or messages. Contact hello@printprepper.com with a privacy question or request.

Information we handle

We receive information you provide, information supplied by an authorised team member, and records generated when the service is used. An upload may contain another person’s information even if they do not have a Print Prepper account. Only provide material you are authorised to share and avoid sensitive information that is not needed for the task.

Why we use it

We use information to provide accounts and team access, process artwork, keep job history, produce previews and outputs, offer AI assistance, manage billing, respond to support requests, diagnose problems and protect the service. Information needed to investigate misuse, resolve disputes or meet legal obligations may also be retained and used for those purposes.

Artwork and AI processing

Processing artwork can involve sending an image, information extracted from it, your instructions and relevant job information to external AI services. Some analysis happens when preparing a job or suggesting edits; it is not necessarily limited to occasions when you select Generate or submit an AI edit. For example, opening the AI editor can trigger vision analysis to suggest changes.

Image editing sends the source image and instructions to the selected provider and saves the returned result. Photo upscaling can also use an external AI service. The in-app assistant sends questions and relevant, permission-scoped account, team and job details to an AI service; that assistant route does not send the artwork files themselves.

Provider handling depends on the service, model and settings. OpenRouter routes requests to downstream model providers with their own policies and settings; see its provider logging information. Do not assume that an AI feature keeps all information within Print Prepper or within Australia.

Who can receive information

Authorised people in your account can access shared work according to their permissions. Print Prepper staff can access information needed for support, operation and investigation. Internal operational emails can include account and job information, proof previews, AI-edit instructions and before/after previews, and assistant questions with their final replies. Support access and relevant activity may be recorded.

External providers support hosting, storage, email, billing, diagnostics, analytics and AI processing. Integrations supported by the service include Amazon Web Services, Stripe, Honeybadger, Plausible, Google Fonts, Segmind, OpenAI, OpenRouter and its selected model providers, and Replicate. Which processing services receive information depends on the feature, selected model and enabled configuration. An optional Drip Magnet integration can receive account contact details and usage information for customer communications.

Providers may process information outside Australia. Locations and provider data-use arrangements depend on the service and configuration. Contact us if you need details for a particular type of work before uploading it. We may also disclose information where required or authorised by law.

Account permissions, authentication controls and encrypted web connections help protect access to the application. Two-factor authentication is available. These controls do not replace careful handling of shared accounts, downloaded files or information sent to external providers.

Website analytics, cookies and communications

The public website supports Plausible analytics to understand website visits and uses Google Fonts to load its typeface. Those services receive technical information when a browser contacts them. Plausible’s cookieless approach does not mean no information is processed. The application separately uses cookies and browser storage for sign-in, security, trusted-browser and display preferences.

You can manage cookies in your browser, but blocking necessary cookies may prevent sign-in or other features from working. If you receive promotional messages, use the unsubscribe option provided or contact hello@printprepper.com to ask us to stop them. Essential account, security, billing and requested support messages are separate from promotional messages.

Retention and deletion

Artwork, prompts, revisions and outputs are retained to support your work and job history. There is no single automatic expiry period for all information. Retention also depends on billing, security, support, dispute and legal needs, and on the handling of copies by service providers.

Deleting or hiding something in the app does not always erase every related record. Failed jobs can be removed from your list while remaining available for investigation. Clearing an assistant conversation does not remove every admitted question or operational report. Deleting an edit does not necessarily remove a result already applied to a job or a copy already included in a staff email. Background cleanup, shared file references, provider records and any retained backups can affect when copies are removed.

Cancelling a subscription does not itself request deletion of your account, artwork or billing records. To ask for information or files to be deleted, contact hello@printprepper.com and describe the account or material concerned. We may need to retain some information where required or permitted by law, or to resolve an outstanding issue.

Access, correction and privacy complaints

You can ask about, request access to, or seek correction or deletion of information concerning you, even if you do not have an account. Contact hello@printprepper.com with enough detail to identify the information and the outcome you want. Avoid sending unnecessary identity documents or sensitive information in your first message.

We may need to verify your identity and authority before disclosing or changing information, and consider other people’s privacy and applicable legal requirements. We will consider your request and respond within a reasonable period, including explaining any limits on what we can provide or change.

If you have a privacy complaint, contact us first with the details. Where the Australian Privacy Act applies, you may also be able to complain to the Office of the Australian Information Commissioner. Other applicable complaint rights are not limited by this policy.

Updates to this policy

We may update this policy by publishing the revised version and its effective date on this page. An update describes our information handling from that date; it does not retrospectively authorise a new use or disclosure of information. We will provide notice or obtain consent where required by applicable law.
